At HiveMates, we are committed to providing accessible and flexible housing for our Members. Our income verification process ensures that Members can comfortably afford their weekly contributions while maintaining financial stability. Below are the income requirements and verification options for Membership approval.

  1. Income Verification Options

HiveMates offers two easy ways to verify your income. Income verification may be subject to periodic updates to ensure continued eligibility.

  • Automatic Verification: Securely connect your bank account through our trusted third-party provider to detect recurring income.
  • Document Upload: Provide recent pay stubs, bank statements, direct deposit records, or official award letters as proof of income.
  1. Approved Weekly Contribution Rate

Once your income is verified and you meet our Membership criteria, you will be approved for a maximum weekly contribution rate.

  • For W-2 and 1099 earners: Your approved weekly contribution will be no more than 50% of your verified weekly income.
  • For SSI recipients or fixed-income earners: Your approved weekly contribution will be no more than 66% of your verified weekly income.
  1. Alternative Membership Options

If you are unable to provide income documentation, you may still qualify for Membership through an upfront payment option. This payment is non-refundable and covers a specific duration of Membership, which will be outlined in the payment agreement. If a Member’s financial situation changes after approval, they should notify HiveMates as soon as possible. Depending on the circumstances or eligibility for alternative payment options such as upfront payments may be reviewed on a case-by-case basis.

  1. Age Requirement
  • Applicants must be 18 years or older to be considered for HiveMates Membership.
  1. Background Screening
  • All applicants may undergo a national-level criminal background check.
  • Applicants with felony convictions in the last 7 years may be disqualified from Membership, except in cases where the conviction is for a non-violent or non-financial offense that does not pose a risk to the community.
  • Consistent with fair housing guidelines, arrests without convictions will not impact Membership eligibility.
  1. Rental History Review
  • Applicants with more than one eviction in the past 7 years may be disqualified.
  • Only non-dismissed civil court evictions are considered.
  1. Identity Verification
  • A valid U.S. government-issued ID is required.
  • Applicants must provide either a Social Security Number (SSN), ITIN, or a valid U.S. visa.
  • A third-party provider is used to confirm identity.
  1. Financial Responsibility
  • Proof of income or upfront payment of dues may be required. Accepted forms of income verification include recent pay stubs, bank statements, tax returns, or an employment verification letter.
  • The applicant’s credit score will not impact approval, but financial responsibility may be reviewed.
  1. Integrity and Fraud Prevention
  • HiveMates takes fraud prevention seriously and uses multiple verification measures to confirm applicant legitimacy.
  • HiveMates reserves the right to deny, suspend, or terminate Membership if fraud, deception, or misrepresentation is detected. Applicants or Members who believe their denial, suspension, or termination was made in error may request a review by submitting a written appeal within 7 days of notification. Appeals will be reviewed on a case-by-case basis to ensure fairness and compliance with applicable guidelines.
  1. After Approval
  • Once approved, Members gain access to the HiveMates platform and can begin booking available rooms.
  • Some Hosts may impose additional screening criteria that could restrict access to specific properties.

  1. General Conduct
  • Members must treat fellow Members, Hosts, and HiveMates staff with respect and courtesy at all times.
  • Disruptive, aggressive, or disrespectful behavior, including verbal abuse, threats, or harassment, is strictly prohibited.
  • Members must comply with all house rules set by the Host, in addition to HiveMates’ general rules.
  1. Noise and Quiet Hours
  • Quiet hours are observed from 10:00 PM to 8:00 AM daily.
  • Loud music, TV, conversations, or other disruptive noise is not permitted during this time.
  • Members should be mindful of their noise levels at all times.
  1. Cleanliness and Shared Spaces
  • Members are responsible for keeping their rooms and common areas clean.
  • Trash must be properly disposed of, and personal belongings should not clutter shared spaces.
  • Kitchen and bathroom areas must be cleaned after use to maintain hygiene for all Members.
  1. Safety and Security
  • Smoking, including tobacco, marijuana, vaping, and any other substances, is strictly prohibited inside the home.
  • Members may not share access codes or keys with non-Members.
  • Unauthorized guests or visitors are not allowed to stay overnight.
  • Tampering with or altering locks, security cameras, or safety devices is prohibited.
  • Any illegal activity, including drug use or possession of firearms, explosives, or other weapons, will result in immediate termination of Membership.
  • Members may not share access codes or keys with non-Members.
  • Unauthorized guests or visitors are not allowed to stay overnight.
  • Tampering with or altering locks, security cameras, or safety devices is prohibited.
  • Any illegal activity, including drug use or possession of weapons, will result in immediate termination of Membership.
  1. Pets and Service Animals
  • Pets are not allowed in HiveMates homes unless explicitly permitted by the Host.
  • Registered service animals and emotional support animals are permitted but must be documented with HiveMates.
  1. Utilities and Energy Conservation
  • Members must conserve utilities, including electricity, water, and internet.
  • Windows and doors should remain closed when heating or cooling systems are in use.
  • Members may not adjust thermostats or climate control settings without Host approval.
  1. Parking and Vehicles
  • Only one registered vehicle is allowed per Member at homes with available parking.
  • Members may not park in restricted areas, including blocking driveways, sidewalks, or neighbors’ property.
  • Unauthorized or unregistered vehicles may be towed at the Member’s expense.
  1. Payment and Financial Responsibility
  • Members must ensure timely payments for their Membership contributions.
  • Using fraudulent payment methods or engaging in excessive payment disputes may result in Membership termination.
  1. Policy Violations and Consequences
  • Violations of HiveMates rules may result in fines, warnings, or Membership termination.
  • Severe infractions, such as violence, illegal activity, or repeated violations, will lead to immediate removal from HiveMates.
  • Hosts and HiveMates staff reserve the right to enforce rules for the safety and well-being of the community.
  1. Reporting Issues
  • Members are encouraged to report any safety concerns, rule violations, or misconduct to HiveMates support.
  • Emergency situations should be reported to 911 first, then HiveMates for further assistance. For non-emergency issues such as maintenance requests, noise complaints, or neighbor disputes, Members should report concerns through the HiveMates support system or directly to their Host.

  • Members must treat fellow Members, Hosts, and HiveMates staff with courtesy and respect.
  • Harassment, discrimination, verbal abuse, or any form of intimidation is strictly prohibited. All reported incidents will be investigated by HiveMates staff, which may include reviewing witness statements and available evidence. Members accused of violations will have an opportunity to present their side before any final decision is made.
  • Any form of physical violence or threats will result in immediate Membership termination.
  • Members must follow all house rules set by their Host in addition to HiveMates policies.
  1. Cleanliness and Shared Spaces
  • Members must keep their rooms and common areas clean and organized.
  • Trash should be properly disposed of in designated bins.
  • The kitchen and bathroom must be cleaned after use to maintain a hygienic space for all Members.
  • Members share access to kitchens, dining areas, restrooms, refrigerators, and other common spaces. As such, all Members must be mindful of others by cleaning up after themselves and properly storing personal belongings.
  • Food storage in shared refrigerators must be labeled with the Member’s name and disposed of when expired to prevent health hazards.
  • Members must wash and store their dishes after use and avoid leaving personal belongings in shared spaces for extended periods.
  • Neither Hosts nor HiveMates will be responsible for lost or stolen articles. Members are encouraged to secure their belongings appropriately.
  • A Member’s disregard for shared spaces, including failure to clean up after themselves or improper storage of belongings, may result in fines, suspension, or termination of Membership.
  • Members must keep their rooms and common areas clean and organized.
  • Trash should be properly disposed of in designated bins.
  • The kitchen and bathroom must be cleaned after use to maintain a hygienic space for all Members.
  • Members share access to kitchens, dining areas, restrooms, refrigerators, and other common spaces. As such, all Members must be mindful of others by cleaning up after themselves and properly storing personal belongings.
  • Food storage in shared refrigerators must be labeled with the Member’s name and disposed of when expired to prevent health hazards.

  • Members may not share access codes, keys, or entry devices with non-Members.
  • Unauthorized guests are not permitted to stay overnight without prior approval from HiveMates and/or the Host. Members must submit a request at least 24 hours in advance, and approval is at the sole discretion of HiveMates and/or the Host based on house policies.
  • Tampering with security cameras, locks, or other safety devices is strictly prohibited.
  • The use or possession of illegal drugs, firearms, explosives, or weapons is strictly forbidden and may result in immediate Membership termination.
  1. Financial Responsibility
  • Members must ensure timely payments for their Membership dues.
  • Using a fraudulent or unauthorized payment method may lead to fines or Membership termination.
  1. Violations and Consequences
  • Violations of the Member Conduct Policy may result in warnings, fines, or termination of Membership.
  • Severe violations, including violence, threats, or repeated infractions, will lead to immediate removal from HiveMates.
  • Appeals for violations may be submitted within 7 days of notice, with supporting evidence for review. Acceptable documentation includes written statements from witnesses, receipts for resolved issues, photographic or video evidence, and any relevant communication records. Appeals will be reviewed within 14 business days, and Members will be notified of the final decision via email.

  • Members are encouraged to report any concerns regarding safety, security, or violations of this policy.

Before a Member completes a booking, they must adhere to our pre-booking standards to ensure a smooth and positive experience. Violations of these standards may result in denial of Membership or restrictions on booking eligibility.

  1. Respectful Communication
  • Members must treat HiveMates staff, Hosts, and other Members with courtesy and respect during all interactions.
  • Disrespectful behavior, including harassment, verbal abuse, or threats, may result in the denial of Membership. All reported incidents will be reviewed on a case-by-case basis, and Members may submit an appeal if they believe the decision was unfair.
  1. Accurate and Truthful Application Information
  • Members must apply for themselves only and provide accurate personal details.
  • Submitting false, misleading, or fraudulent information, including identity or financial misrepresentation, is grounds for denial.
  1. Payment Method Integrity
  • A valid and legitimate payment method must be used for Membership dues and bookings.
  • Any attempt to use a stolen, fraudulent, or unauthorized payment method will result in an immediate Membership denial.
  1. Fraud Prevention and Verification
  • HiveMates conducts verification checks to prevent fraud and ensure community security.
  • Any indication of fraudulent activity, deception, or misrepresentation may lead to Membership rejection or restrictions. Verification methods may include identity confirmation through government-issued ID, payment method validation, and cross-referencing application details with third-party fraud prevention databases.
  1. Compliance with HiveMates Policies
  • Members must acknowledge and agree to HiveMates’ Membership Rules and Community Guidelines before booking.
  • A failure to accept or adhere to these policies may impact booking eligibility.
  1. Consequences for Pre-Booking Violations
  • HiveMates reserves the right to deny, suspend, or restrict Membership for applicants who violate these rules.
  • Decisions regarding Membership eligibility are final, but applicants may submit an appeal within 7 days of denial if they believe they were denied unfairly. Appeals must include a written statement explaining why the decision should be reconsidered, along with any supporting documentation such as proof of identity, financial statements, or character references. Appeals will be reviewed within 14 business days, and applicants will be notified of the final decision via US Postal Service or email.

  • Bank Statement: Refunds are typically processed back to the original payment method within 5-7 business days after approval of the refund. Check your bank statement for the transaction.
  • Email Confirmation: You will receive an email notification once your refund has been issued.
  • Member Dashboard: Log in to your HiveMates account to check for refund updates.

  1. What is the Member Score?

The Member Score is a dynamic rating that reflects a Member’s impact on the HiveMates community. It is influenced by feedback from Hosts, fellow Members, and adherence to HiveMates’ policies.

  1. How is the Member Score Calculated?

A Member’s score is based on the following factors:

  • Host Ratings: Feedback from Hosts on cleanliness, rule compliance, and respectful behavior.
  • Member Feedback: Ratings provided by other Members based on shared living experiences.
  • Rule Compliance: Violations, fines, and disciplinary actions may negatively impact the score for up to 12 months, depending on the severity of the infraction. Minor violations may have a shorter impact period, while repeated or severe infractions will affect the score for the full duration.
  • Timely Payments: Consistently meeting financial obligations contributes positively to the score.
  1. Why is the Member Score Important?

A strong Member Score provides several benefits:

  • Access to More Housing Options: A higher score increases eligibility for booking preferred properties.
  • Improved Standing with Hosts: Hosts may prioritize Members with better scores for long-term stays.
  • Continued Membership Eligibility: A consistently low score may result in warnings or Membership termination.

To maintain a good standing within the HiveMates community, Members should:

  • Respect house rules and fellow Members.
  • Keep shared spaces clean and follow hygiene guidelines.
  • Pay Membership dues on time.
  • Address any concerns from Hosts or fellow Members proactively.
  1. Consequences of a Low Score

Members with repeated negative feedback or serious violations may face:

  • Warnings and Corrective Actions: Members may receive guidance on improving behavior.
  • Restrictions on Bookings: Low scores may limit access to certain properties.
  • Membership Review and Possible Termination: Continued poor standing may lead to Membership suspension or termination. Members who maintain a score below the minimum threshold for 60 consecutive days or receive three or more serious violations within a six-month period may be subject to review and possible termination.

  • Members can view their current Member Score in their HiveMates dashboard.
  • If a Member believes their score is unfairly affected, they may submit a dispute within 7 days with supporting documentation, such as written statements from Hosts or fellow Members, payment records, evidence of resolved violations, or other relevant materials that clarify the situation.
  • Appeals will be reviewed within 14 business days, and adjustments will be made if necessary.

This Minimum Commitment Agreement (“Agreement”) is entered into between HiveMates, LLC (“HiveMates”) and the undersigned Member (“Member”). This Agreement is a supplement to the HiveMates Membership Agreement and should be read in conjunction with it. This Agreement outlines the minimum commitment period, associated benefits, and terms governing early termination.

  1. Minimum Commitment Period

By opting into a commitment-based membership, the Member agrees to:

  • A 12-week membership commitment to receive a discounted weekly rate.
  • A minimum 31-day membership requirement for all Members, unless choosing the Premium Flexibility Upgrade.
  • Automatic transition to a week-to-week membership upon completion of the commitment period.
  1. Membership Benefits

Members who choose a commitment-based membership enjoy:

  • An 8.33% discount on the weekly contribution rate.
  • One free transfer to another HiveMates home within the network.
  • Access to exclusive HiveMates community resources and priority renewal options.
  1. Early Termination Policy

If a Member chooses to terminate their membership before completing the 12-week period, the following terms apply:

  • A one-time adjustment fee equivalent to one week’s dues will be charged to the card on file.
  • Members may transfer to another HiveMates home without incurring an early termination penalty.
  • Members who opt for the Premium Flexibility Upgrade may pay a one-time penalty equal to their current weekly rate to end their membership early.
  1. Membership Renewal
  • Members may renew their commitment-based membership prior to the end of their current plan to continue receiving discounted rates.
  • Membership rates may increase at any time, and the new rate will apply upon renewal.
  1. Acknowledgment and Agreement

By signing below, the Member acknowledges they have read, understood, and agree to abide by the terms of this Minimum Commitment Agreement.

Our 12-Week Membership Rate provides a discounted weekly contribution, offering you the best value while you enjoy the HiveMates experience. Members who choose this option will receive an 8.33% discount, equivalent to saving one full week over the 12-week period. After completing your 12 weeks, you’ll automatically switch to a week-to-week arrangement, giving you more flexibility as you continue your stay. You may also choose to renew your membership plan prior to the end of your current plan. Please note that rates may increase at any point. If you choose to end your membership early, an adjustment fee equivalent to one week of dues will apply (charged to the card on file). You can always transfer to another HiveMates home at no penalty.

Premium Flexibility Upgrade

Looking for immediate flexibility? Our Premium Flexibility Upgrade might be perfect for you. Our platform-wide minimum commitment is always 31 days, however, you can pay a one-time penalty equal to your current weekly rate in advance to move out early. This option is ideal if you’re unsure about your future plans or simply prefer maximum freedom in your living arrangements.

  • If the violation poses an immediate danger to anyone’s safety, such as physical violence, fire, gas leaks, or medical emergencies, call 911 first before notifying HiveMates.
  • For non-emergency violations, evaluate whether it can be resolved directly by speaking with the Member involved.
  1. Reporting a Violation

If the issue persists or is serious in nature, report it to HiveMates through the following channels:

  • Member Dashboard: Submit a report directly through your HiveMates account.
  • Email: Contact info@hivemates.com with details of the incident.
  • Phone: Call HiveMates support for assistance.
  1. Information to Include in Your Report

To ensure a thorough review, include the following details when reporting a violation:

  • A description of the incident, including date, time, and location.
  • Names of involved parties, if known.
  • Any supporting evidence, such as photos, videos, or witness statements.
  1. What Happens After You Report a Violation?
  • HiveMates will review the report and investigate the situation within 7 business days. The investigation may include gathering statements from involved parties, reviewing any available evidence, and assessing past conduct. Members will be informed of any decisions or actions taken based on the findings.
  • If necessary, the offending Member may receive a warning, fine, or Membership suspension.
  • In cases of repeated or severe violations, HiveMates may terminate the Member’s Membership.
  1. Confidentiality and Retaliation Protection
  • All reports are confidential, and HiveMates will not disclose the identity of the reporter unless required by law.
  • Retaliation against Members who report rule violations in good faith is strictly prohibited and may result in disciplinary action, including warnings, fines, suspension, or termination of Membership, depending on the severity of the retaliation.

A Temporary Protective Order (TPO) is a legal order issued by a court to protect individuals from harm, harassment, or threats. It is designed to provide temporary relief while a more permanent legal decision is made. If you feel that your safety is at risk, understanding how to file a TPO is important.

  1. What Can a TPO Do?

A TPO can:

  • Prevent the accused individual from contacting or approaching you.
  • Require the accused to vacate shared housing.
  • Authorize law enforcement to remove the accused if they refuse to comply.
  1. When Should You File a TPO?

You should consider filing a TPO if you experience:

  • Threats of violence or harassment.
  • Physical assault or attempted harm.
  • Stalking or intimidation that makes you feel unsafe.
  1. How to File a TPO

TPOs are filed through the court system in the county where the accused resides. Follow these steps:

  1. Find Your Local Court: Contact the Clerk of the Magistrate Court in your county for filing procedures.
  2. Complete the Necessary Forms: Courts typically provide TPO application forms online or in person.
  3. Submit Your Application: File the completed forms with the court. A judge may issue a temporary order immediately.
  4. Attend a Court Hearing: A formal hearing will be scheduled within 10 to 30 days to determine if a longer-term protective order is necessary.
  5. Follow Up with Law Enforcement: If granted, provide a copy of the order to local law enforcement for enforcement.
  1. HiveMates’ Policy on TPOs
  • If a TPO is issued against another Member in your HiveMates home, HiveMates will enforce the order, which may include the removal of the named individual.
  • The affected Member must provide HiveMates with a copy of the judge-signed TPO within 48 hours of issuance for action to be taken.
  • If a TPO is later revoked or expires, HiveMates will review the situation before reinstating the affected Member’s access.
